School and nursery photography without paper order forms
A dozen classes, several hundred pupils and a six-week season. Instead of handing out proof prints and collecting envelopes through form teachers, you give every group its own gallery and receive orders ready to fulfil.
The school season is won on logistics, not on photography
September and October are the point in school photography where the pictures are the easy part. The real cost starts afterwards: proof prints have to be handed out, envelopes collected through form teachers, orders transcribed, and then matched back to whoever the numbers belonged to.
Every one of those steps is a source of error. A sheet gets lost in a backpack, a parent circles a photo so faintly the number cannot be read, and the form teacher — quite reasonably — does not want to be an intermediary in financial settlements. Then there is time pressure: if the orders do not come back within two weeks, they do not come back at all.
And at the end sits the same question as in all children's photography: why should one pupil's parent be browsing the whole class?
How Pixchoose handles the school season
A gallery per class
Each class or nursery group is a separate event with its own link and its own password. Year 3B's material never reaches 2A's parents.
An order instead of an envelope
A parent marks photos in the gallery and confirms the selection. You get an unambiguous list, with no numbers to read off paper forms.
No teacher in the middle
The link goes straight to parents — through the school's messaging system or the class group. The school handles neither money nor paperwork.
A password on every group
The gallery sits behind a password, so only whoever was given it has access. With children's photos that is a condition of the conversation with the school, not a premium feature.
All of it works on a phone
A parent opens the link where the school message reached them — on a phone. They do not have to sit down at a computer in the evening to place an order.
A selection counter
You see how many photos each family marked, so fulfilment and billing rest on numbers rather than recollection.
Why this cuts weeks off the season
In the traditional loop every change of state needs a physical carrier: the proof print has to reach the home, the marked-up sheet has to travel back to school, and you have to collect and transcribe it. Three handovers, each of which can slip by a week — and usually does, because the child forgets and the teacher has other duties.
An online gallery removes all three at once. The parent gets a link the same day you publish, and orders whenever they have a moment — most often that same evening. The order reaches you in a form you can send straight to production, with no transcription stage.
The practical difference is that the season stops stretching. Instead of gathering orders from a dozen classes over six weeks and closing the books in December, you have the full set within days of publishing — and the free dates in November can be sold as ordinary portrait sessions.
Common questions about school photography
Does the school have to install anything?
No. The school passes the link and password to parents through its messaging system or the class group. Nothing is deployed on the school's side, and the form teacher handles neither orders nor payments.
Can parents from one class see other children's photos?
They see the material in the gallery they were given. If you want families fully separated, you create a distinct event for each; if splitting by class is enough — one event per class.
Can I take orders for different print sizes?
A parent marks specific frames in the gallery and can add a note to a photo, and you receive that together with the selection list. You set the offer on your side — Pixchoose organises the choice, it does not impose a print price list.
How long does it take to prepare galleries for a whole school?
As long as uploading takes. Each class is set up as a separate event and published as a link; there is no proof-print or order-form stage at all.
